Challenge

A US leading retailer known for its commitment to operational excellence and technological innovation enhanced store operations and their customer experience by partnering with a technology provider to implement a cutting-edge automation solution across its US stores.

Digital Shelf Rail Display platforms were deployed to automate key tasks such as pricing updates, inventory tracking, geolocation of stock, and interactive services. This system significantly improves operational efficiency, accuracy, and customer experience while reducing the time and effort required by staff.

Given the scale and importance of this initiative, the retailer recognized the need to implement a robust business continuity plan to ensure system resilience in case of unforeseen disruptions.

As the retailer rolled out these advanced automation systems across all its U.S. stores, it faced a critical challenge: ensuring the ongoing functionality of both the hardware and software components in case of vendor failure. Any disruption to the vendor’s operations could result in costly downtime, delays, and a negative impact on the customer experience. Therefore, they needed a solution that would provide them with the assurance that they could maintain operational continuity, regardless of external challenges.

Solution Implemented

To address this risk, the retailer collaborated with the vendor and Escode to establish a comprehensive business continuity plan. This plan ensured that both hardware and software components of the Digital Shelf Rail Display platform were placed into escrow to help mitigate against potential disruptions.

A Master Agreement was set up, which involved the creation of seven Deposit Accounts—four for software and three for hardware. The retailer was registered as the beneficiary of all seven accounts, ensuring they would have access to the necessary resources if required.

By securing both hardware and software components of the Rail Display systems, the retailer has ensured that its US stores can continue to provide seamless, efficient services to customers, regardless of any external disruptions.

Software Continuity

The Digital Shelf Rail Display system relied on four critical software packages, each designed to perform specific functions within the platform. To guarantee that they could continue operating these applications independently, Escode conducted a combination of SBV (Standard Build Validation) and IBV (Independent Build Verification).

The process included:

  • Documenting the build process of the software as provided by the vendor to ensure transparency.

  • Independently building the software to validate that the retailer could recreate the software environment outside of the vendor’s network.

By performing these independent and thorough validations, Escode ensured the retailer could rely on the long-term availability and the ability to maintain the automation solution, should the vendor no longer be in a position to support.

Hardware Continuity

The hardware components of the Rail Display system also required meticulous verification. To ensure the retailer could restore hardware if needed, Escode performed detailed reviews of the hardware schematics held in escrow. Three sets of hardware schematics were deposited, allowing the retailer to reestablish the hardware in case of vendor failure, significantly reducing the impact of any disruptions.

Impact

This investment ensured that the retailer’s store operations remained resilient, even in the face of potential vendor failure. With the service being rolled out across all US stores, it was crucial for the retailer to have a thoroughly tested business continuity plan in place to ensure the uninterrupted functioning of the system.

The retailer’s Senior Counsel for their Operations team played a key role in facilitating this initiative, further emphasizing the strategic importance of operational resilience within the company.

The retailer’s partnership with the vendor and Escode demonstrates the importance of a proactive and thorough business continuity plan in today’s complex retail environment.
